HRS requires the following information:

  • Completed HRS Checklist signed by the Principal Investigator and the Department Chair
  • Research proposal
  • Budget and Budget Justification
  • Ethics/Biohazard Approvals (if applicable)
  • Application with Principal Investigator’s and Department Chair’s signatures

Yes, all proposals for research funding from co-applicants in the Faculty of Health Sciences should submit their application for review by HRS on behalf of McMaster University two weeks prior to the deadline date. To obtain institutional approval/signature(s), you do not need to submit an HRS Checklist.

Indirect costs (overhead) are expenses incurred in the conduct of research that are not directly attributed to a specific research effort but are still a valid cost of doing research. Examples of indirect costs include: central research and financial services, certification offices, heat, light and hydro, libraries and computer services, etc.

Indirect Cost Policy

The McMaster Policy on Indirect Costs Associated with Research stipulates that overhead must be charged on research projects to assist in covering the costs associated with operating university facilities.  The chart below details the applicable overhead rate associated with various funding sources.  This is not meant to be a comprehensive summary but does provide the rates for the most common types of funding.

NSERC Research Partnerships Programs 25% of total direct costs applied to industry contribution

30% of total direct costs applied to industry contribution
Provincial Government 40% of total direct costs
Municipal Government 40% of total direct costs

Please consult our office if you have any questions regarding overhead rates.  The reinvestment of overhead into the direct costs of a project is only applicable in rare and special circumstances.  Such reinvestment is subject to written approval by the Department Chair, Faculty Dean, and Vice-President of Research.

The Facilities and Administrative (F&A) rate for NIH grants is 8% less equipment. Complete details can be found on the NIH website: Allowability of Facilities & Administrative (F&A) Costs for Foreign and International Organizations.

For any other Department of Health and Human Services (DHHS) the F&A rates is 10% as per the Rate Agreement.

HRS Senior Grants Officers can assist in obtaining letters of support for McMaster researchers who are identified as principal applicants or co-applicants on grant applications. The McMaster researcher and their Department Chair should prepare the letter(s) of support and forward it to the HRS Office at hsresadm@mcmaster.ca for review and an institutional signature.
